HR Officer – Maternity Cover Our Client a bank based in Central London is seeking a Generalist HR Officer with at least 3 to 4 years experience to cover a maternity role for 10 to 12 months FTC. Day-to-day management · Assist with day-to-day HR administration including (but not limited to): o Recruitment (eg sourcing of candidates, organizing/arranging for interviews, etc.) for both regulated positions and non-regulated positions o On-boarding and off-boarding of staff o Ensure HR processes are adhered to (eg reminder when probation period is up for review, employment reference requests, etc.) o Ensure new and existing staff personnel file (physical and digital) are up to date and organized o Processing staff benefits and liaison with the Bank's benefits broker Visa processing for seconds o Provide assistance and support to the Branch staff with HR systems and 1st line HR advice (referring to HoD for serious issues where needed) o Organizing training and other L&D related plan o Annual performance management o Staff surveys, Wellbeing and engagement activities o Assist with the production of MI report for HR related data (branch/group HR as required) o Ensure HR letters are appropriate and accurate (referring to SOPs and applicable policies) o Ensure the Branch compliance to the UK immigration laws and prevent illegal working systems o Assist with data entry for monthly payroll, and ensuring all staff claims (including overtime) and deductions are processed timely (this also includes assisting with other ad-hoc tasks such as P11Ds/P60s) o Provide any other general administrative support to the Head of HR and Administration o Assist with ensuring the Branch is in compliance with the Health & Safety rules o Support the Branch operations as and when needed and any other tasks assigned by the General Manager of the Branch o Ensure all HR data is accurately labeled, and data retained/managed as per GDPR and internal policies and SOPs Data Integrity · To ensure all data worked on and or/shared with internal/external clients are accurate, complete and maintained in accordance with the Bank's data quality standards · Handle all data in strict alignment with the General Data Protection Regulations (GDPR) principles · Escalate any suspected data breaches or any privacy issues to the HOD promptly and without delays. · Ensuring any data sharing requests are discussed with HOD/DPO so that prior authorization is given and follows GDPR / department's SOPs Regulatory Comply with all applicable individual conduct rules (especially the FCA Conduct Rules, Regulations, Bank policies and procedures and the Compliance Manual): refer to COCON rules below o Rule 1: You must act with integrity. o Rule 2: You must act with due skill, care and diligence. o Rule 3: You must be open and cooperative with the FCA, the PRA and other regulators. o Rule 4: You must pay due regard to the interests of customers and treat them fairly. o Rule 5: You must observe proper standards of market conduct. o Rule6: You must act to deliver good outcomes for retail customers. · Adhere to the highest standards of corporate governance and behaviors applicable to a bank regulated by the PRA and the FCA. · To continuously display honesty, professionalism, respect, openness, integrity, competence and capability and financial soundness. · To work with Audit teams (whether internal or external) and assist with all the required information (to liaise with HOD as needed) Training and Learning & Development · To complete all mandatory training set by the Bank (branch and group) within set deadlines · To work with HOD as and when needed to identify relevant and appropriate training for the role Performance Management · Accurately and promptly reporting and logging of absence in the HR related systems to ensure required standards of conduct and performance in the workplace are met · To complete the assigned annual and ad-hoc performance reviews in line with the Bank's procedure · To report any wrongdoing/work related concerns/matters to the HOD, the GM or HR as and when these arise (where appropriate referring to HR to support/guidance and agreement with next Quality Assurance Tester · Completion of CET/KRIs within set deadlines · Completion of assigned training relating to QAT duties and responsibilities · Assistance in identifying and highlighting areas of improvements, gaps and advise on risk and control related areas when performing testing and executing testing of samples · Complete testing requirement as per testing schedule to ensure compliance with stipulated deadline and to ensure sufficient coverage of processes and controls · Ensure all evidence of sampling are available as and when required by independent reviewer Diploma or Bachelor or Master's degree or professional qualification in relevant discipline (HR/Psychology/Business Administration/Business Management) or CIPD L3 (preferred but not essential). The salary for this position will be around £40K pa and the role is on-site at the office 5 days per week in Central London.
