This role is based in Aberdeen, with regular on-site attendance, typically three days per week, to support close collaboration with our clients and CGI teams.

Candidate profile

In this role, you will play a key part in supporting the effective delivery of projects and programmes across our client portfolios. Working closely with project managers, programme teams and stakeholders, you will take ownership of essential coordination, reporting and governance activities, ensuring projects remain organised, risks are visible and key decisions are supported by accurate information.

You will have the opportunity to improve ways of working, strengthen project controls and contribute ideas that enhance delivery efficiency. Supported by a collaborative team of experienced professionals, you will help maintain consistent governance standards while developing your project management expertise within a dynamic client environment.

Your key responsibilities will include:

• Coordinate & Support: Provide comprehensive project and programme administration support across client portfolios, ensuring effective day-to-day operations.

• Manage Risks & Actions: Maintain accurate RAID logs and action trackers, proactively monitoring progress and escalating issues where appropriate.

• Support Governance: Coordinate governance forums and stage gate reviews, including agenda management, meeting packs, quality assurance, minute taking and action follow-up.

• Strengthen Project Controls: Promote consistent use of PMO templates, reporting standards and governance processes, providing practical guidance to project teams.

• Monitor & Report: Coordinate weekly project reporting, following up with project managers to ensure timely and accurate submissions.

• Analyse & Highlight: Review project reports, identifying key risks, dependencies, milestones and information requiring management attention.

• Consolidate & Communicate: Support the production of programme-level reporting by consolidating individual project updates into clear, meaningful management summaries.

• Improve & Collaborate: Identify opportunities to streamline administrative processes, enhance reporting quality and support effective collaboration across CGI and client teams.

Required qualifications to be successful in this role

To succeed in this role, you will bring strong organisational skills, attention to detail and experience supporting projects or programmes in a structured delivery environment. You will be comfortable working with multiple stakeholders, managing competing priorities and ensuring accurate reporting and governance. A proactive approach, clear communication skills and a willingness to contribute improvements will help you make a positive impact. Experience within the Oil & Gas or wider energy sector would be particularly advantageous.

You should demonstrate:

• Project Coordination Experience: Previous experience in a Project Coordinator, Project Administrator or PMO support role.

• Governance & Reporting: Experience supporting project governance meetings, preparing documentation, tracking actions and coordinating regular reporting.

• RAID Management: Ability to maintain risk, assumption, issue and dependency logs, ensuring accurate tracking and timely escalation.

• Stakeholder Engagement: Strong communication and interpersonal skills, with the confidence to engage project managers, delivery teams and client stakeholders.

• Organisation & Prioritisation: Proven ability to manage multiple tasks, meet deadlines and maintain accuracy in a fast-paced environment.

• Microsoft Office Skills: Proficiency in Microsoft Excel, PowerPoint, Word and Teams, particularly for reporting, documentation and coordination.

• Process Improvement: A proactive mindset with the ability to identify improvements to project administration, reporting and governance processes.

• Sector Knowledge: Previous experience within Oil & Gas, energy or another complex project delivery environment would be beneficial.
