Having an invoice template for your business as a freelancer is essential in you saving time and getting paid. Invoicing as a whole can be a bit of a painful process, however, its one that needs to be looked at as it ensures your income is received at the right time. An invoice will allow your client to know exactly what they are being charged for, how much you are charging for your services and when they need to have the amount paid. An invoice template can help you save time, as it will already be set up and you will only have to add relevant details for each client.

All you need to do is enter your business address details and your limited company number/VAT number if applicable.   • Your company name and address

  • The invoice number and the date

  • How you would like to be paid (e.g. bank transfer or cheque)

  • Bank details

  • The amount to be paid (services and expenses)

  • Total cost

  • Payment terms (for example, to be paid within 30 days of the invoice date

  • Company name and business number

  • Business VAT number (if applicable)

Some of the things that you also need to think about is; is making sure that the invoice number is unique, asking your clients to use the invoice number as the reference for the payment and making sure to chase the invoices to be paid on time.

Getting invoices paid on time can be really difficult as the UK has a huge late payment culture within the self-employed and small business sector. Clients, especially those that are a bigger business, tend to delay the payment making it difficult for small businesses. Having a good cash flow in your business is essential in its survival, therefore make sure you are chasing payments if you need to.

Please remember not only to keep all copies of invoices and the invoice template that you create but also get used to regularly backing up your data as you don’t want to lose important data.
